Openum allows sending documents in bulk from a .csv file or manually entering recipient details individually. The process is quick and intuitive, involving the following four steps.

Step 1: Template selection

 

In this initial step, you can customise the identifier for your communication and select the template that will be used for the opening process.

 

The identifier is a unique code that helps recognise the communication in the communications list. The field has a default randomly generated value. Entering the same code as an ongoing sending will automatically cancel the first one.

 

This step also displays all configured templates. It shows the name, company, and info icon. Clicking it opens a side panel with full template details.

 

By default, there will be 2:

  • Openum Email
  • Openum SMS



Step 2: Document Upload

 

In this step, you upload the files recipients need to open. If the pattern includes sending additional documents, they will be uploaded in separate sections in this step.


 

Step 3: Signatories' data

 

Here, recipient details are entered.

 

The recipient input form is linked with Lleida.net Cloud's contact book. If a recipient isn't in the contacts, an icon opens a popup to add and save their details. 

 

You can also fill in user information using existing contact book data. Clicking Add Users from Contacts opens a side panel to filter contacts by name, last name, company, phone number, email, identification number, and hashtags. You can select filtered results and enter up to 20 contacts.

 

Assigning Identification Methods 

 

If the template configures identification methods, the assign button will be active.

 

Each signatory can have one or more identification methods assigned. By default, all methods are selected. If multiple methods are assigned, the signatory chooses how to identify them on the signing page.

 

For users' convenience, before the one-time access code method was introduced, a switch is kept to restrict or allow global access with a known code.

 

Step 4: Finish

 

This final step displays all the options selected during the previous steps, allowing for any necessary modifications.


If everything is correct, all that's left is to click the Send button.
